After onboarding, I joined a project with a large regional health system that was undergoing an Epic implementation to transform its clinical and operational processes. As a Summer Associate supporting both the Project Management Office (PMO) and Organizational Change Management (OCM) teams, I was able to roll up my sleeves and contribute to a variety of high-impact projects that are shaping the future of healthcare delivery.
From the outset, my preceptors welcomed me into a collaborative and fast-paced environment. Over the course of my internship, I produced three key deliverables: the Change Planning Platform data model/educational materials, Change Coalition Tracker, and the Super User cost model redesign.The Change Planning Platform began as a change impact tracker, capturing all operational-level changes occurring across every department within the health system. My work involved analyzing how these changes affected existing policies and whether they aligned with Epic’s guidelines and recommendations for best practices. I developed a comprehensive data model that mapped how current client datasets relate to each other, which was instrumental in the build of three distinct dashboards: a Change Planning Power BI dashboard, a user role dashboard that aligns user roles with workflows power app, and a workflow readiness activities dashboard that connects user roles with specific readiness activities power app. These tools allow stakeholders in different departments to easily track progress and prepare for go-live day. Alongside this, I created educational materials to support the rollout of Power BI dashboards and Power Apps tools for end users.
During an Epic implementation, super users (trusted staff trained to support their teams) are essential for change management. The Super User Cost Model estimates costs for their training and backfill by detailing labor splits, hourly rates, and assumptions in a consolidated, easy-to-update format, enabling clear financial oversight. I curated the key assumptions into a consolidated, easy-to-update format. This enabled clear financial oversight for leadership and helped ensure that resource planning was both accurate and transparent.
The Change Coalition Tracker is an operational readiness tool designed to help Change Coalition leaders plan meetings and effectively cascade change communications across the health system. This included developing a monthly agenda for Change Coalition meetings, complete with detailed descriptions of each topic, speaker assignments, and meeting durations. I maintained a list of agenda items submitted for consideration, which, once approved, would be added to the official agenda. Additionally, I established a deck review schedule that provided a timeline with deadlines for each step in the topic deck creation process, ensuring that all materials were prepared and reviewed in a timely manner. Outside of work, I made the most of my time in Chicago. I enjoyed multiple outings with my cohort, which helped build lasting friendships and a strong sense of community. Some highlights included attending a Cubs game and taking a fireworks boat ride with my team. A truly unforgettable way to see the city skyline! The biggest highlight of my internship was the Summer Associate Conference, where I got to spend time in Scottsdale, Arizona, try aerial yoga for the first time, and attend a silent disco party – all unique experiences that made this summer even more.Looking back, I never expected to be so deeply involved in such a wide range of deliverables or to learn so much about organizational change in a healthcare EHR migration project. The mentorship and support I received from my preceptors and colleagues made all the difference, and I’m grateful for the opportunity to contribute to such meaningful work. This summer has been both a professional and personal highlight, and I’m excited to carry these experiences forward.
